This guide walks you through setting up email for your school using Google Workspace for Education.
🛠️ Step 1: Sign Up and Create the Organization

- Register school for Google Workspace for Education.
- Use admin@domain.com to create the organization.
admin@domain.com - reserved for Sovoli platform access and emergency recovery.
Should not be used for school communications.
🛠️ Step 2: Verify Domain Ownership and setup DNS
To activate your Workspace:
- Follow the instructions to verify your domain ownership.
- Add the given TXT record to the DNS provider (e.g. Vercel).
- Add the given MX record.
- Add the given SPF TXT record. eg
v=spf1 include:_spf.google.com ~all - Add the given DKIM TXT record. https://admin.google.com/ac/appsettings/740348119625
- Add the given DMARC TXT record. eg
v=DMARC1; p=none; rua=mailto:postmaster@ma.edu.gy, mailto:dmarc@ma.edu.gy; pct=100; adkim=s; aspf=s - Add the ARC Auth.

👥 Step 3: Staff Email Accounts
Each staff member should receive a personalized email account.
Naming convention:
firstname@domain.com → e.g. shawn@ma.edu.gy
firstname.lastinitial@domain.com → e.g. shawn.m@ma.edu.gy (fallback)
Collect each user's personal backup email for account recovery.
Step 5.1: Setup School Admin Roles
- Add the school admins to the following roles:
- Group Admin - to manage the public-facing email group
- User Management Admin - to manage user accounts
🛠️ Step 4: Create a Public-Facing Email Group

Type: Google Group
Purpose: Receives inquiries from parents, students, and the public.
Managed by: The school admins.
Allow external senders.
Enable “Send As” permissions if replying from group.
